Terms & Conditions of bookings

Here are the Terms and Conditions of the Booking. These are really important, if a bit boring, so please do read them. Remember we’re here to help, look after you and make sure you have a great time at Glen Dye. There’s no such thing as a silly question, so never be afraid to ask!

CONTACT

When you submit a booking via our online reservation system, you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. Your booking is subsequently confirmed by a confirmation email and this forms the contract.

The property you book is let for the purposes of a holiday let to which section 12 (2) and paragraph 8 of Schedule 4 of the Housing (Scotland) Act 1988 apply. The booking agreement confers the right to occupy the accommodation for the agreed period only. You undertake to use the property solely for its purpose as self-catering accommodation and to accept our right to refuse access to the accommodation to any person, whether the client/hirer or guest of the client/hirer, deemed unsuitable.

RESERVATIONS & DEPOSITS

The reservation is only confirmed when you have paid a deposit of 50% of the total cost. The booking contract is between you, the client/hirer, and Glen Dye Cabins & Cottages. The deposit is taken at the time of booking if booked over 6 weeks in advance. The balance is payable 6 weeks prior to your arrival date.

If the balance of any rental is not paid by the due date, the booking will be treated as cancelled. Any bookings within 6 weeks of arrival must be paid in full at the time of booking.

Christmas, New Year and Easter bookings must be paid in full at the time of booking and are non-refundable.

Subject to availability, changes to the length of your stay can be made up to 48 hours before the day of your arrival.

Any difference in price will be charged as extra to the original booking.

Changes can only be made by contacting our reservations team. Please telephone 01330 850689 or email adventure@glendyecabinsandcottages.com

CANCELLATION POLICY & REFUNDS

Any cancellation made by the client/hirer for any reason must be made in writing (by letter or email) directly to Glen Dye Cabins & Cottages, Estate Office, Bridge of Dye Steading, Strachan, Banchory, Kincardineshire, AB31 6LT.

adventure@glendyecabinsandcottages.com

Refunds:

6 weeks (over 42 days) – we will refund your full deposit.

2-6 weeks (21-42 days) – we will refund 50% of the full accommodation cost.

Less than 2 weeks (under 14 days) – no refunds will be made. However, if we manage to resell the accommodation for the cancelled dates, then we will refund in full.

Should the booking be made through a third party i.e. Airbnb then 10% of the total cost + VAT will be non-refundable regardless of circumstances.

Cancellations for Christmas, New Year and Easter bookings:

If booking for Christmas, New Year or Easter are cancelled with less than 6 weeks (42 days) notice, no refund at all will be given.

We strongly advise that guests take out a travel insurance policy which covers booking cancellations. This is available at very affordable rates and gives you the peace of mind that you will get your money back if you need to cancel your holiday.

Event bookings (feasts, workshops etc.):

Event tickets can be returned or refunded up to 14 days before the event starts. Returned tickets are not refundable or exchangeable within 14 days of the event. If you miss an event, we cannot refund you.

CANCELLATION BY GLEN DYE CABINS & COTTAGES

Glen Dye Cabins & Cottages will endeavour to make sure that the property you have chosen is available for the dates contracted. In the very unlikely event that the property becomes unavailable and Glen Dye Cabins & Cottages has to cancel the booking, we will endeavour to find you a suitable alternative property.

If there is nothing available, we will give you a full refund. Glen Dye Cabins & Cottages shall only be liable to return the monies received. No compensation or consequential losses shall be paid.

ARRIVAL & DEPARTURE

Guests are welcome to arrive from 4:00pm. If you will be arriving earlier than this and would like to offload your luggage so you can explore, please let us know and we will make arrangements for safe storage.

In order that the property can be thoroughly cleaned and prepared for the next arrival, departure time is 10:00am – we ask for your understanding with this as all good things take time!

OCCUPANCY

The number of persons occupying the property must not exceed the maximum number stated on the booking, and the names and addresses of all members of the party must be shared with Glen Dye Cabins & Cottages. If we find that more people than agreed are using the property, this will be considered a breach of contract and you and your party will be asked to leave immediately without any refund.

If you wish to hold any function or celebrations exceeding the occupancy limit, you must first obtain the written permission of Glen Dye Cabins & Cottages. If permission is granted, an additional charge will be made.

NOISE, NUISANCE & BEHAVIOUR

Glen Dye Estate is a mixture of private residences and holiday properties. Causing a nuisance or disturbance to neighbours or any unreasonable behaviour may result in Glen Dye Cabins & Cottages requiring you or your guests to leave.

CARE OF THE PROPERTY, DAMAGES & BREAKAGES

You are responsible for the property and we ask you to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. We expect you to leave them in the same state of repair and in the same clean and tidy condition at the end of the rental period as you found them at the beginning. We ask that you leave the property secure if you leave it unoccupied during the period of let.

You must not use the properties for any dangerous, offensive or noisy activities or do anything that may be a nuisance or annoyance to the guests of any other holiday properties or the residents of Glen Dye Estate.

We understand that accidents happen and we ask that any breakages or damage (accidental or otherwise) are reported immediately to Glen Dye Cabins & Cottages. Failure to do this may result in you being charged for any breakages or damage. Any missing inventory from the property on your departure may also be charged for, as may extra cleaning.

COMMERCIAL ACTIVITIES

Guests must not use Glen Dye Cabins & Cottages for commercial activities.

SAUNA USE DISCLAIMER

The sauna use is not suitable for everyone. Please consult with a healthcare professional if you have any underlying health conditions or concerns, especially if you are pregnant, have heart conditions, high or low blood pressure, respiratory issues, or other medical conditions. Stay hydrated, as dehydration can be a risk during sauna sessions. Monitor how your body responds, and avoid alcohol and medications that may interact negatively with heat.

DOGS

Dogs are welcome to all our properties (but not in the hot tubs!). We do ask that they are house-trained, kept under proper control and not allowed on the furniture or beds. They must not be left unattended in the property unless they are crated and unlikely to cause a noise disturbance. If you don’t have room to bring a crate, we can provide you with one but please arrange this before your arrival. Dog hairs are to be removed from carpets and all dog waste collected and disposed of. Dog owners will be held responsible for any damage caused to the property, contents or garden by their dog and for any extra cleaning required.

When you are out walking within the property grounds and estate, you must ensure that your dog(s) are kept under close control. They must not be allowed to disturb people, horses, livestock, deer, game birds, hens or ground-nesting birds.

If you wish to bring more than two dogs, please contact Glen Dye Cabins & Cottages prior to arrival to ensure that this is acceptable.

FIREWORKS

Fireworks are not permitted.

SMOKING AND VAPING

Smoking and vaping are not permitted in any of our properties and a flat fee of £500 will be charged if there is any evidence of smoking or vaping within the property.

FLYING OF DRONES

Flying of drones on the Estate is not permitted.

LIABILITY

Glen Dye Cabins & Cottages will not be held responsible for any loss or damage to guests’ personal property, vehicles etc. whilst visiting Glen Dye.

CHILDREN

Guests must accept responsibility for the safety of their children at all times whilst visiting Glen Dye Cabins & Cottages and the grounds.

All children (a person under 16 years of age) must be accompanied by an adult and must be supervised by an adult at all times.

You must take particular care when children are around animals, fire, equipment and water. Of course, Glen Dye has been and remains home to a number of children, but the environment does come with its own risks. Be especially careful of the rivers, which can rise quickly and dramatically during rain and snow melt.

TRAVEL COTS & HIGHCHAIRS

We have a limited number of these that we can provide for your use. Please try to request these at the time of booking to avoid disappointment. Linen and bedding for travel cots are not provided and we do not provide stairgates.

MOBILE PHONES

Please note there is no mobile signal available at any of our properties. Where possible please enable your phone to use Wi-Fi calling and use the internet connection.

Alternatively, you will need to drive approx. 5 miles for signal or climb Clachnaben!

INTERNET ACCESS

Internet access is provided for your use in all cottages. You agree to reasonable and lawful usage of this service.

Due to the wonderful remoteness of the area, internet can be very slow so please be patient. We cannot guarantee that internet access will always be available as the weather may affect the service. Any damage to the infrastructure caused by the weather may take a while to repair.

No refunds or compensation will be offered or paid should there be no internet access.

OPEN FIRE & WOOD BURNERS

Each of our holiday properties are supplied with logs (replenished free of charge) and a starter supply of firelighters. More firelighters can be purchased from our shop. North Lodge, Corner House, The Hayloft, The Bothy, Cuttieshillock, #2, #4 and #5 Steading Cottages have independent modern heating systems and do not depend on the fires for heating.

SEVERE WEATHER

Due to our remote location, we are frequently subject to severe weather. Snow and ice conditions mean that the police will close the nearby snow gates which means that access from the south will have to be via Stonehaven. Access from the north is not affected by their closure.

If flooding or snow conditions make you feel that you cannot reach the property safely in your own vehicle, we can make arrangements to meet you in Banchory and transport you to Glen Dye. We love a bit of adventure and we won’t let adverse weather spoil your break!

During severe weather, there is a chance that power cuts will occur. As the repair and restoration of the electricity supply is outwith our control, we cannot guarantee when it will return, and no refunds or compensation will be offered or paid. We do however provide torches and a gas hob and North Lodge is connected to a generator.

COMPLAINTS

Every endeavour is made to ensure your stay with us is memorable for all the right reasons. However, we do recognise that from time-to-time, things do go wrong. In these circumstances, it is your responsibility to make any such problems known to Glen Dye Cabins & Cottages as soon as it becomes apparent, giving us the opportunity to correct the situation, and rest assured, we will make every endeavour to do so as soon as reasonably possible. Unless this procedure is followed, no subsequent claim will be entertained.

CIRCUMSTANCES BEYOND THE CONTROL OF THE OWNER (FORCE MAJEURE)

If, for any reason, we have to cancel your booking in advance due to circumstances beyond our control, for example fire, flood, exceptional weather conditions, epidemics, pandemics, destruction/damage to the property (“force majeure “) you will be refunded the full amount of the booking.

If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. This will be the full extent of the liability of Glen Dye Cabins & Cottages. No additional compensation, expenses or costs will be payable.
